Vendors billed in three formats. Coding lived in someone’s head. A generic GPT demo could summarise the PDF. It could not post it, and it could not be allowed to.

Accounts payable was a hallway. PDFs, forwards, and a shared mailbox that nobody wanted to own.

What we built
An AI workflow: extract, suggest a GL code from history, flag the odd ones, and stop. A human posts, n8n and Power Automate carry the file across mail, SharePoint, and the ERP. The model does not hold the pen.
What changed
The mailbox is a queue with a state, not a personality. Coding is consistent. The person who used to walk the invoice around the office does something else.
